Automating processes and easing the workload – these are our favorite challenges. For a customer in the logistics sector, we developed the XXL Scan Solution, which we are now use for other customers as well!
An advanced and automated scanning process
Logistics service providers are always dealing with a lot of documents. Customs documentation, invoices, cost specifications, information from shipping companies etcetera. This can add up to a huge pile of paper. To digitize all of this, these documents need to be scanned. Manually, of course, this is a lot of work. That can be done more efficiently!
The right hardware
This efficient process hinges on the right hardware. A real document scanner is an absolute must.
XXL Scan Solution: an example
- All documents are collected and placed in a stack in the scanner
- The invoice has a certain attribute and it must be the first document in the stack
- Does the scanner encounter the next document with the attribute? Then he knows he is starting a new customer
- It is possible to have documents from multiple customers scanned, provided they are in order
- The scanner turns it into 1 generic, reduced PDF that is easy to read
- The PDF is then uploaded to a central location or linked to the customer in a portal or system
Linked to web portal
This entire process saves a lot of time because of little manual handling. But it can still be a touch faster! Thanks to a link to a web portal or an ERP system, the PDF created can be linked to the customer based on the attribute on the invoice. Then this documentation can be sent out immediately to the customer.
This is very user-friendly, both for the service provider and the customer: service provider no longer has to worry about sending the documentation, and the customer receives all the information in 1 mail.
